CSE is a Bristol-based national charity (#298740) founded in 1979 that helps people and organisations address the climate emergency and end the misery of cold homes. We do this by giving advice, managing innovative energy projects and undertaking research and policy analysis. 

We have grown significantly in recent years, and we see further opportunities to increase our impact  and influence as a charity in the coming years.
The Operations Team’s overall purpose is to deliver and improve CSE’s core organisational support functions, working closely with other staff, to ensure they:

• Underpin the successful delivery by the whole organization of our charitable mission, strategic objectives, and associated programmes and projects.

• Enable effective planning, decision-making and management of our human, physical and financial resources across the organisation.

• Nurture and sustain a collaborative culture in which staff are encouraged and supported to perform at their best and we collectively achieve outstanding results.

• Embody our purpose and values in both their design and operation.

Main purpose

• To provide effective and efficient administrative support to the project delivery staff of the Centre for Sustainable Energy Specific responsibilities.

• To answer the phone, take accurate messages and pass on to relevant member of staff or team.

• To greet visitors and clients in a professional manner. 

• To sort out incoming post every day, franking outgoing post. 

• To maintain adequate stock levels of stationery, office equipment and refreshments – ordering or buying when necessary, keeping stores tidy and readily accessible, and liaising with equipment providers (e.g. photocopiers, franking machine etc.) to achieve the required performance and fix 
problems promptly.

• To oversee the IT and telecoms workstation set up for staff, ensuring a full working set-up is available to suit their needs, liaising with our IT support team to secure prompt attention to any issues arising. 

• To support staff with administrative tasks associated with delivering their work, including but not limited to: organizing work travel and accommodation; event venue selection, booking, set up and participant registration; mailings (electronic and post); routine data entry, review and updates.

• To administer petty cash and banking as required.

• To maintain first aid and health and safety records, regularly checking first aid boxes (restocking when needed).

• To manage the recruitment process from advertising to arranging interview schedules.

• To liaise with the St James Court Building Supervisor and communicate any ongoing issues to CSE staff and attend tenant meetings when required. 
• To support the HES project administrator to record client data, updating databases, speaking with householders and managing bookings for retrofit projects. 

• To undertake other administrative activities as required by the Director of Finance & Operations or the Chief Executive.

Working relationships and contacts

• The post-holder will work closely with all colleagues in the organisation and will develop and maintain effective communication and working relationships with colleagues and volunteers across CSE.

• The post-holder will work closely with other members of the administration team both within Finance & Operations and HES.

• The post-holder will have personal contact with key stakeholders, particularly service providers relevant to the role’s responsibilities (including the Building Supervisor, IT support, stationery and office equipment suppliers and maintenance providers).

• To identify opportunities to improve CSE’s services and project delivery and help meet CSE’s strategic objectives.

• To understand how your work and that of your team contributes to CSE’s wider organizational impact, aligns with CSE’s mission and current strategy and reflects CSE’s purpose, methods and values.
