Details of Role: 

Overall aim of the post:

To complete day to day financial transactions using Sage and financial procedures to maintain accurate financial records to support Community in Partnership Knowle West.


 Essential tasks:

  • Completing transactions on the sales and purchase ledgers, cash to bank and other day to day financial activities
  • Accounts Receivable tasks - To raise invoices for tenants and room hire using Sage 50, to manage receipts of income from room rental and to ensure income is recorded using the internal systems of CiPKW. To ensure all payments are up to date and to report arrears.
  • Accounts Payable tasks – to check incoming invoices with the team and prepare them for payment. Working with the Finance Manager, Centre Manager, Treasurer and finance committee to ensure all accounts payable are paid within a timely fashion – either by cheque or by BACs.
  • Responsible for the payment of utilities services and ensuring regular meter readings are taken.
  • To post receipts and remittance advices on the SAGE accounting system.
  • To prepare cash/cheques for banking and ensuring this is completed on a fortnightly basis. 
  • To prepare and post petty cash expenditure/pre-paid mastercard to Sage monthly.
  • To prepare and post staff expenses.
  • To reconcile the bank account statements to Sage 50
  • Preparation of Monthly Payroll from staff timesheets. Submit to accountant by 20th of the month. Prepare and post monthly payroll journal from pay summaries prepared by accountant. Ensure staff are paid by monthly pay date as per contracts (25th of the month). Ensure PAYE paid by month end following pay date.
  • Filing as required.
  • To raise any financial issues in a timely fashion.


Additional Duties:

  • Working as part of a team to ensure the success of Filwood Community Centre, including good, timely communication and cooperation with the tenants and room users.
  • Working as part of the team to support CIPKW and community events.
  • Any other duties which can be legally and reasonably requested by the board of CiPKW.


Qualifications / Personal Qualities:

  • Bookkeeping / Accounting Skills, ideally with a recognised qualification
  • Experience in using Sage 50
  • Confident in Microsoft Office
  • Methodical, systematic approach to accounts duties with high attention to detail
  • Professional, problem solver.
