Details of Role: 

The post holder will provide the overall management of day to day operations at the Trust, with particular lead roles in staff management, building management, governance and finances. The post holder will ensure the effective use of all Trust resources to ensure the delivery of the Trust’s vision to serve the residents of Lockleaze. The post holder will provide executive support to the Chief Executive and the Lockleaze Neighbourhood Trust team. An element of this role will be reactive responding to opportunities and situations as they arise.

Staff & Volunteer Management

  1. Develop the staff team within LNT as a motivated, united team with outstanding customer service and pride in the Trust who clearly articulate the vision of the Trust with a diverse range of specialities.
  2. Overall lead for HR for all Trust staff and volunteers including all aspects of staff management such as managing performance, annual leave, training needs, recruitment and retention, safeguarding lead.
  3. Review and implement policies and procedures including safeguarding, health and safety, volunteer management, equalities and fire policy.
  4. Lead regular team meetings and be the internal communication lead
  5. Line-manage staff and oversee all annual leave and holiday cover.

Operational Management

  1. Ensure friendly & welcoming atmosphere across all of the trust’s facilities with staff and volunteers knowledgeable of the local area and activities so they can signpost, and offer information, advice & guidance.
  2. Lead on the delivery of contracts, particularly ensuring reporting against targets. Including maintaining a project database of all relevant funds and activities.
  3. Investigation, coordination and implementation of potential new projects and programmes. Including project management where appropriate.
  4. Oversee room bookings, and hire offer with responsibility for maximising this income.
  5. Organisational lead for IT, including website.
  6. Liaise with existing and prospective tenants, managing lease arrangements..
  7. Arrange for any repairs, organise regular maintenance (alarms, emergency lighting, PAT testing etc.) and ensure all suppliers are competitively priced
  8. Oversee utilities contracts for three sites, meter readings and troubleshooting where needed
  9. Ensure the Health and Safety of employees and customers in accordance with Health and Safety legislation.
  10. Ensure good governance, up to date policies and relevant implementation.

Support the Chief Executive and Board of trustees to further the aims of LNT

  1. Deputise for and represent the Chief Executive as appropriate, particularly with regard to the Trustee board, and responsible for the Finance sub-group meetings and papers.
  2. Provide effective executive support to the Chief Executive including proactive, reactive and administrative support.
  3. Set annual budgets with the Chief Executive, load on to our finance system, and work with finance administrator to provide quarterly reports to the Trustees
  4. Contribute to the development and implementation of an impact framework, including collation and reporting on a series of measures, reported to the Board, funders and other key stakeholders
  5. Support the Chief Executive staff and volunteers in identifying and applying for appropriate funding.
  6. Take a lead on finance review, and work with the Chief Executive on budget setting and financial strategy.

General Duties

  1. To comply with all Lockleaze Neighbourhood Trust’s policies and procedures.
  2. To maintain a professional attitude and conduct at all times.
  3. Any other duties as and when required.
  4. Have a flexible approach to working which will include occasional evenings and weekends.
